Refund policy

At OfficeForm, most of our chairs are made to order through our manufacturing partner.

Because of this, returns and refunds are handled differently depending on whether the item is faulty, damaged, incorrect, or simply no longer wanted after ordering.

This policy explains when returns, exchanges, replacements, and refunds may apply.

By placing an order with OfficeForm, you agree to this Return & Refund Policy.


Made-to-Order Products

Most OfficeForm chairs are made to order once payment has been received.

This means your chair may be manufactured, assembled, packaged, or prepared specifically for your order.

Because of this, we may not be able to cancel, return, or refund an order once it has been accepted and submitted for production or fulfilment.

If you need to cancel or change an order, please contact us as soon as possible. We will do our best to assist, but we cannot guarantee that changes or cancellations can be made after the order has been processed.


Change-of-Mind Returns

OfficeForm does not automatically accept returns simply because:

You changed your mind.

You ordered the wrong chair.

You selected the wrong fabric colour.

The chair does not suit your space.

The colour looks slightly different in person.

You no longer need the chair.

This is especially important because most chairs are made to order.

Fabric colours, finishes, and product images shown on our website are for guidance only. Actual colours may vary depending on lighting, screen settings, fabric batches, and photographic display.

If you are unsure about a chair, fabric colour, or product option before placing your order, please contact us first.


Damaged, Faulty, or Incorrect Items

Please inspect your order as soon as it is delivered.

If your chair arrives damaged, faulty, or incorrect, you must contact us within 48 hours of delivery.

Please send us:

Your order number.

Clear photos of the issue.

A short description of the problem.

Photos of the packaging, if the item appears to have been damaged during delivery.

Once we receive your information, we will review the issue and work with our manufacturing or delivery partner to arrange the appropriate solution.

This may include a repair, replacement, exchange, or refund, depending on the situation.

South African consumer law provides protection where goods are unsafe, defective, or not as described, so this section must stay fair and not try to remove rights customers legally have. The Consumer Protection Act gives consumers rights around defective goods and supplier accountability.


Reporting Timeframe

Visible damage, delivery damage, or incorrect items must be reported within 48 hours of successful delivery.

This helps us raise the issue quickly with our manufacturing or courier partner.

If damage is reported late, it may be harder for us to confirm whether the issue happened during delivery or after the item was received.


Warranty and Manufacturing Defects

If your chair develops a fault that appears to be related to a manufacturing defect, please contact us with your order details and photos or videos of the issue.

We will assess the issue with our manufacturing partner.

If the issue is confirmed as a manufacturing defect, we may arrange a repair, replacement part, replacement chair, or refund where appropriate.

The solution will depend on the nature of the fault, the product, and the outcome of the assessment.


What Is Not Covered

Returns, repairs, replacements, or refunds may not apply where the issue was caused by:

Normal wear and tear.

Misuse or abuse of the chair.

Incorrect assembly by the customer, where applicable.

Damage after delivery.

Cuts, stains, burns, or fabric damage caused after use.

Use of the chair for purposes it was not designed for.

Unauthorised modifications or repairs.

Failure to follow care or usage instructions.


Delivery and Return Costs

If a return is approved, the customer is responsible for arranging and paying for return shipping, unless the return is due to an error on OfficeForm’s side.

This means the customer must cover return shipping costs where the return relates to:

  • A change of mind
  • An incorrect selection made by the customer
  • A product that does not suit the customer’s space
  • A fabric colour or finish preference
  • Any other approved return that is not caused by a fault, damage, or incorrect item supplied by OfficeForm

If the product arrives damaged, faulty, or incorrect, OfficeForm will review the issue and work with our manufacturing or delivery partner to determine the appropriate next steps.

Return shipping costs are non-refundable unless otherwise required by law or unless the return is due to an error by OfficeForm.

The returned product must be properly packaged to avoid damage during return shipping. If the product is damaged during return shipping because it was not packaged securely, the refund or return may be affected.


Refunds

If a refund is approved, it will be processed using the original payment method where possible.

Refunds may take several business days to reflect, depending on your bank or payment provider.

Refunds will only be processed once the return has been approved and, where applicable, once the product has been returned and inspected.


Bulk Orders

Bulk orders may be subject to separate return, cancellation, and refund terms.

Because larger orders may involve special manufacturing, larger production planning, delivery coordination, and custom requirements, cancellations or returns may be limited once the order has been accepted.

If you are placing a bulk order, we recommend confirming all product details, quantities, fabric options, delivery requirements, and timelines before payment.

Consumer Rights

Nothing in this policy is intended to remove or limit any rights you may have under South African law.
